Problem :
The client’s business was struggling financially, with limited runway left. She needed a lean, effective system to bring in high-value clients quickly.



Solution :
Built a cold outreach system using Apollo + Sales Navigator for lead gen and Apollo’s email outreach feature.
Created a domain warm-up strategy to protect email credibility, scaling from 0 to 50 emails/day per domain.
Managed campaigns through Trello for tracking and Outlook for replies.
Focused exclusively on top executives & decision-makers to secure high-quality leads.






Challenge :
Domain Reputation Risks: The client initially wanted 100–200 cold emails/day, but that volume would have destroyed her domain’s credibility and landed campaigns in spam.
Budget Constraints: With limited funds, I had to design a lean system that worked with only a few tools while still scaling outreach.
Time Pressure: The business was already sinking, so results had to be delivered quickly without cutting corners.
High-Stakes Targeting: Since we only focused on executives and decision-makers, every email had to be researched, relevant, and personalized — no room for “spray and pray.
Summary :
In just three months, I built a lean cold outreach system from scratch for a retreat and culture development business. Using Apollo, Sales Navigator, and a domain warm-up strategy, I safely scaled campaigns to 50 emails/day per domain while managing replies in Outlook and tracking via Trello. By targeting only executives and decision-makers, I generated high-quality leads, including prospects who requested follow-ups in 4–6 months. Despite the project pausing due to personal circumstances, the system proved effective, validating the client’s offer and creating real opportunities for future sales.
