Problem :

Traditional spreadsheets made it difficult to track rice deliveries, batch-level costs, and sales in real time. Manual monitoring often led to errors in profit calculation, difficulty enforcing FIFO (first-in, first-out) stock rotation, and limited visibility into overall business performance.

Solution :

Built a centralized Airtable system with linked tables for Deliveries, Batches, and Sales. Each batch automatically calculates true cost per sack (including prorated delivery expenses), tracks remaining stock, and enforces FIFO for sales. A custom Interface Dashboard visualizes total stock, sales, profit, and average daily performance, giving real-time visibility into operations while reducing manual errors.

Challenge :

While building the Airtable system, I ran into several issues:

  • Formulas breaking when trying to reference fields across linked tables (needed to use Lookups first before applying formulas).

  • Rollup fields showing blanks until I properly linked records between Deliveries, Batches, and Sales.

  • Handling Days Running calculations for average sales/profit without creating extra tables, which required creative use of formulas and rollups.

  • Airtable free tier limits (1,000 records/month for AI + automations, capped rows, etc.), so I had to design a lean setup without unnecessary tables or fields.

  • Learning curve in setting up the Interface Dashboard, especially since some features (like “Metrics”) weren’t immediately visible or worked differently than older documentation.

Summary :

Developed a custom Airtable system to manage rice inventory using Deliveries, Batches, and Sales tables with built-in FIFO tracking. Designed an Interface Dashboard to monitor total stocks, sales, profit, and average daily performance, ensuring real-time visibility and smarter decision-making for a fast-moving goods business. The system streamlined manual tracking by automating cost calculations, batch monitoring, and sales reporting. This allowed the business to focus on growth while maintaining accuracy, efficiency, and profitability across operations.
