Problem :

Businesses waste time and money handling repetitive inquiries (location, pricing, FAQs) through manual customer support. Customers want instant answers and cost estimates without waiting on human agents, while businesses want to capture leads directly into their CRM.

Solution :

I built a Voiceflow AI agent powered by Gemini Flash 2.5 with natural voice + chat features. The agent can be deployed for calls or embedded on websites as a customer support assistant.

  • Smart Routing: Identifies if the client is asking about location, pricing, or FAQs, then routes to the right conversation path.

  • Knowledge Base Integration: Uses a stored data file for both location info and FAQs, ensuring quick and consistent answers.

  • Estimate Calculator (via Relevance AI): Collects inputs like property type and floor area. Sends data to Relevance AI through webhooks to generate a cost estimate, proving multi-app integration.

  • Lead Capture: Collects client name and phone number and stores it in CRM (Google Sheets, Airtable, or HighLevel).

  • Continuous Support: Loops back to ask if the client has more requests, keeping the conversation natural and helpful.

Challenge :


  1. Conversation Routing – Designing multiple branching paths while keeping the conversation natural and not robotic.

  2. Data Handling Across Apps – Ensuring Voiceflow and Relevance AI exchanged structured inputs/outputs cleanly (JSON formatting, prompt strictness).

  3. Estimate Accuracy – Normalizing inputs like square footage and property types so the model gave consistent pricing outputs.

  4. CRM Integration – Making sure client data (name, contact) reliably pushed into external CRMs with no duplication or missing fields.

  5. Voice UX – Balancing brevity and clarity in voice responses so the bot felt approachable without overwhelming users with long replies.
